Understand Report Categories
Most reports separate findings into categories such as:
• Defects requiring immediate action
• Defects requiring action within a specified timescale
• Advisory observations
If a defect requires immediate action, remove the equipment from service until it is repaired and declared safe.
Assess the Risk Behind Each Defect
Look beyond the wording. Ask:
• Does this defect affect structural integrity or load capacity?
• Could it lead to failure of a safety device?
• Does it indicate a recurring maintenance issue?
If you are unsure, speak directly with the competent person who issued the report.
Record and Evidence Your Corrective Actions
For each defect, document:
• The action taken
• The date of repair or replacement
• The responsible person or contractor
• Supporting evidence such as photographs or invoices
This creates a clear audit trail for regulators and insurers.
